Quota

Welcome to the Xactly Quota User’s Guide. Xactly Quota provides a set of tools and
features that makes it easy for managers to view and manage quota plans for their
teams.

With Xactly Quota, managers have a direct way to ensure that quota plans are consistently
managed and allocated for teams within the organization.

You can access the Xactly Quota application directly from Xactly Incent.

• Log into Xactly Incent, click the  Screen Shot 2016-08-25 at 11.15.25 AM menu and choose Quota.

The Quota application appears allowing you to work with your quota plans

Plans

 

Managers can use the Plans area to manage quota plans for their team. Using this
area, managers can do the following:

• Display the list of quota plans assigned to them
• Display plan summaries

For each plan, managers can do the following:

• Display plan details
• Accept a plan, as appropriate
• Set a quota uplift for the team
• Specify the quota allocation for each team member
• Submit quota allocations to individual team members
• Optionally recall quota allocations for individual team members
• Display the comparative allocation among your team members

note: Managers can only view and manage plans that have been submitted
(assigned) to them by an administrator. In addition, plans that have been recalled by
an administrator do not appear on this page

How to…

This section describes how to manage quota plans.

Display All Quota Plans

Click the Plans tab. The Quota Plans screen appears displaying all quota plans.

• To find specific plans, type part of the name in the Find Quota Plans text box, and
click the Screen Shot 2016-08-25 at 12.59.02 PM button. The search results appear.
Click the Screen Shot 2016-08-25 at 12.58.51 PM button to clear the Find Quota Plans text box and reset the search
results.
• To filter plans by period, choose the appropriate period using the Period dropdown
list.
• To filter plans by status, choose the appropriate option using the Plan Status dropdown
list.
• Click an entry to reveal a summary of the plan.
The Summary tab displays the following information:
• Amount—The quota plan amount for which the manager is responsible
• Description—A description of the quota plan
• Due Date—The date on which the manager’s quota allocations are due
• Use the page navigation buttons to navigate between pages of quota plan
results

Allocate a Quota Plan

1. Click the Plans tab. The Quota Plans screen appears displaying all quota plans
submitted to the manager.

2. Hover over a plan in the list, and click the Allocate button that appears. The My
Quota screen appears.

3. In the Quota Uplift section, check the quota assigned to the plan.
Optionally, click the Show Details link to display details about the quota.

4. In the Uplift Percentage pane, type the over assignment of your team’s allocation.
Click the Screen Shot 2016-08-25 at 1.24.42 PM button to save your uplift setting.

note: The default value was set by the administrator when the plan was created.
The administrator might also have disabled modification of this value.

5. In the Allocation Entry section, allocate the quota to members of your team.

note: Your administrator might have already provided initial allocation values. You
can update these values, as appropriate.

The section displays the following information:

• Team Quota—The value of the team quota with the uplift.
• Allocated Quota—The sum of the current allocations (updated as allocations
are modified).
• Remaining Quota—The team quota minus the allocated quota (updated as
allocations are modified).
• Percent Allocated—The allocated quota divided by the team quota, as a percentage.
If the plan allows you to specify only yearly allocations, type the quota allocation
for each team member in the corresponding field. The allocation values must
equal 100% of the uplifted amount.

If the plan allows you to specify quarterly or monthly allocations, do the following:

a. Select a person using the list on the left.
b. In the Year field, type the appropriate value. Optionally, click the Screen Shot 2016-08-25 at 12.59.37 PMbutton
to distribute the value you typed evenly across the quarters and months.
c. In the Quarterly fields, adjust the values as required.
Optionally, click the Screen Shot 2016-08-25 at 12.59.37 PM button to distribute the value you typed for a quarter
evenly across the corresponding months.

You can check to see whether the Quarterly Total displays an Screen Shot 2016-08-25 at 12.59.50 PM icon, which
indicates that the sum of the quarters matches the sum for the year. An Screen Shot 2016-08-25 at 1.00.01 PM
icon indicates that the values do not match.

Click the Screen Shot 2016-08-25 at 1.00.16 PM button next to a Quarterly Total to recalculate the corresponding
yearly value.

d. In the Monthly fields, adjust the values as required.
You can check to see whether the Monthly Total displays anScreen Shot 2016-08-25 at 12.59.50 PM icon, which
indicates that the sum of the months matches the sum of the quarters. An Screen Shot 2016-08-25 at 1.00.01 PM
icon indicates that the values do not match.

Optionally, click the Screen Shot 2016-08-25 at 1.00.16 PM button next to a monthly value to recalculate the
corresponding quarterly value.

note: The total allocation at the highest-level period needs to match the team
quota with uplift. For example, if yearly allocations are available, the sum of all
yearly allocations must match the team quota with uplift.

Also, certain periods might not be editable depending on how your administrator
configured the plan. For example, the first quarter might be editable, but
the remaining three-quarters might be disabled for editing.

In the Analyze section, check the comparative allocation among your team
members. Each team member appears on a separate row showing a graph of
the current allocation against additional allocation data.

note: Current allocations appear as zero (0.00) in the graph until the respective
allocations are specified. The additional allocation data (other than the current
allocation) is supplied by your business administrator.

If you have selected to display the current allocation, the application uses the
team quota value to determine the scale of the chart. This allows you to easily
compare allocations across your team.

If you have not selected to display the current allocation, the application uses the
largest value found in any of the other data sets to determine the scale of the
chart.

e. Click the Screen Shot 2016-08-25 at 1.24.42 PM button to save your quota allocation settings.
note: The Allocation Entry section lists positions, which might include open positions.

Also, the administrator might have uploaded additional data for use when allocating
quotas (for example, last year’s revenue). This additional data is specific to
the position, not the person.

6. In the My Quota area, click the Screen Shot 2016-08-25 at 1.00.51 PM button to accept the plan, as
appropriate.

note: Be careful when accepting a plan—you cannot undo this action.
After accepting a plan, the button dims and is no longer accessible.

7. In the Allocation Entry section, click the Screen Shot 2016-08-25 at 1.01.40 PM button to submit a quota
allocation to the corresponding team member.

If the team member is a manager, the person receives an email notification and
the plan appears in Xactly Quota for the manager to allocate to their team.

If the team member is a sales representative, the person is not notified nor do they
have access to Xactly Quota. Instead, sales representatives are notified of their
quota when they receive their plan document.

You can recall a quota allocation submission by clicking the Screen Shot 2016-08-25 at 1.00.30 PM button.

note: TheScreen Shot 2016-08-25 at 1.01.40 PM button is only active after you have accepted the plan.
