Reporting on Prior Period Processing (PPP)

Prior period processing is the means by which Incent allows the reprocessing of prior
periods to generate retroactive adjustments to results, known as prior period adjustments
(PPA). These adjustments might become necessary because of changes to
compensation plans, updates to transactional data (such as orders), or the evolution
of reference data in an organization.

Reference data includes items such as rules, formulas, rate tables, exchange rates,
quotas, or other plan design elements, as well as person records and organization
hierarchy, among other information.

When PPP is run, all changes are applied to a new version of the results, which are
rolled forward to the current period. This maintains the integrity of your original results—
which were used to pay a team—and allows administrators to show a comparison
between the original and later calculations, as these calculations might affect incentives.

important: PPP does not change the payment history in Incent. Payments completed
in closed periods remain unchanged. Instead, PPP allows administrators to recalculate
payments and bring that payment information forward into the current period.

Using Analytics, you can report on payments for all the versions through history.

PPP can store up to 12 versions of any period. This means that administrators can
reprocess the prior 11 periods to adjust for changes. For example, if the current period
is June, administrators could reprocess results starting with the prior July. After processing
is complete, administrators can show how the July data was calculated in August,
September, and so on, using the “As of” option, displaying each of those versions of
July data and what changed over time.

note: Prior period processing is disabled by default. PPP must be specially-enabled
for an organization by Xactly Support. The information in this section is only applicable
if PPP has been activated for your organization.

 

Use with Analytics

You can use Analytics to report on data from prior period adjustments using the following
dimensions and facts:

• As Of Period column in the Period dimension
• Bonus PPA fact
• Commission PPA fact
• Credit PPA fact
• Payment PPA fact
• Split Order PPA fact
• Processed Order PPA fact

The new PPA facts include comparison measures, which you can use to display summary
data across all PPA versions. These comparison measures let you review data
across all versions of prior period adjustments. They can be used down to person-level
details, but are not available for transactional details about the order.
important: Only the two latest versions of data can be seen at the transactional
(order) level. You can do this using the existing (non-PPA) facts in combination with
the As of Period dimension.

Existing reports with non-PPA facts always show the latest version of data from prior
period processing. This ensures both backward compatibility and that existing reports
are not impacted when PPP is enabled for an organization.

 

To use PPA in your reports:

1. Click the Create Report tab.
The Create Report page appears.

2. Click the Criteria tab, if necessary.
You can use the Criteria tab to specify the criteria for the report, including the columns
and filters to show data based on prior period adjustments.

3. To add a column to the report, double-click a column in the Subject Areas pane.
Alternatively, drag and drop a column from the Subject Areas pane to the
Selected Columns pane.

You can use the following dimensions and measures to report on prior period
adjustments:

• Non-PPA facts in combination with the As of Period dimension to show the two
latest versions of data at transactional (order) level detail. Without the As of
Period dimension in the report, the original facts show only the single latest version
of data.
• PPA comparison facts, such as Fact: Payment PPA > Payment Amount in combination
with the As of Period dimension to review summary data (person-level
details) for all versions based on prior period adjustments. Note that this measure
must be used with the As of Period dimension.
• Current and prior measures, such as Fact: Payment PPA > Current Payment
Amount , with or without the As of Period dimension to view the latest and second
latest versions of data from prior period adjustments.

4. Add and edit filters, as needed, using the Filters pane.

5. Click the Screen Shot 2016-08-22 at 8.48.01 AM button to save the report. The Save As dialog appears.

Do the following:

a. In the Folders pane, choose a personal or shared folder in which to save the
report.

When you save a report in one of your personal folders, only you can access it.
When you save it in a shared folder, users with permission to access that folder
can access it too.

Your top-level personal folder is called My Folder. Every user with a unique user
name has a folder called My Folder. This is designed to hold the reports that
you run most often, and other content that you access frequently.

b. In the Name field, type a name for the report.
c. (Optional) In the Description field, type a description for the report.
d. Click OK button.

note: If an “As Of” period is combined with regular facts, only the two latest versions
of data are displayed.

When creating reports on order-level details, only the two latest versions of PPA data
are available. Add an “As of” period column to reports with regular fact measures.
Similarly, when reporting on the differences between two versions, use PPA fact measures
for the current and prior amounts. You can combine measures with “As of” periods
or with periods alone.

Finally, when reporting on the differences between all PPA runs, use PPA fact amount
measures for comparison. Note that only summary-level data is supported (data at
the person level) and order-level details are not supported beyond the two latest versions
of data.
