Configure > Process Groups
You can use the Process Groups area to create and manage process groups within
Incent. Process Groups define a sequence of steps (actions) that can be added to
the process queue (in the Orders > Process Status area) to orchestrate complex processing
methods.
note: Access to the Process Groups area is set in the Setup > Roles area. Administrators
with read-only access to the Process Groups area can display information but
cannot add, modify, or remove process groups in the area. Administrators with readwrite
access can perform all operations.

This section describes how to manage process groups.
Display All Process Groups for a Plan Year
Click the Setup tab, then click Configure > Process Groups in the secondary menu.
The Process Groups screen appears.
• To display process groups for a specific period, choose the appropriate period
using the drop-down list.
• To find specific process groups, type part of the name in the Find text box, and
click the button. The search results appear.
• To filter process groups by type, select the appropriate radio button in the Filters
section.
You can filter process groups based on the following types:
• All
• Manual
• To reorder the process groups, drag and drop a process group to a new location
in the list. Alternatively, use the up and down arrows to change the order of the
process groups.
• Use the page navigation buttons to navigate between the pages of process
groups.
Create a Process Group
1. Click the Setup tab, then click Configure > Process Groups in the secondary menu.
The Process Groups screen appears.
2. Click the button. The Create Process Group screen
appears.

3. In the Name field, type the name of the process group.
4. (Optional) In the Description field, type a detailed description of the process
group.
5. In the Plan Year field, choose the plan year for the process group.
6. In the Report Refresh field, specify whether you would like to hold results from
updating on the Incentive Statements until the process group is complete.
You can use this setting to ensure that sales teams see the latest relevant results,
reducing inquiries around in-progress calculations.
7. In the Single Period Processing (SPP) field, specify whether to include the process
group in single period processing.
Including the process group in single period processing allows you to add multiple
process groups to the queue in a single operation.
note: This field appears only when Single Period Processing is enabled for your business.

8. In the Prior Period Processing (PPP) field, specify whether to include the process
group in prior period processing.
Including the process group in prior period processing allows you to reprocess prior
periods to generate retroactive adjustments to results, known as prior period
adjustments (PPA).
note: This field appears only when Prior Period Processing is enabled for your business.

9. In the Steps section, specify the steps that comprise the process group.
Do the following:
a. Click the button. A new step appears.
b. In the Name field, type a unique name for the step.
c. In the Frequency field, choose the frequency of the step. The frequency represents
period types, and specifies the period for which the step runs.
d. In the Type field, choose the type of the step.
You can choose from among the following options:

e. In the Parameters field, click the Select Item link and select the corresponding
parameter in the dialog that appears.
For Email steps, specify the recipients (Sent To field), subject, and body of the
message.
Continue adding steps to the process group, as needed. To reorder the steps,
drag and drop a step to a new location in the list. Alternatively, use the up and
down arrows to change the priority of the steps.
10. Click the button to save the process group. Alternatively, click the
button to dismiss the screen without creating the process group.
Edit a Process Group
1. Click the Setup tab, then click Configure > Process Groups in the secondary menu.
The Process Groups screen appears.
2. Hover over the process group, and click the Edit button that appears. The Edit Process
Group screen appears.
3. Modify the fields, as required.
4. Click the button. Alternatively, click the button to dismiss
the screen without saving your changes.
Manage Process Group Versions
1. Click the Setup tab, then click Configure > Process Groups in the secondary menu.
The Process Groups screen appears.
2. Hover over the process group, and click the Edit button that appears. The Edit Process
Group screen appears.
3. To add a new version, do the following:
a. Expand the Version section by clicking the disclosure button.

b. Select an existing version (corresponding to the effective end date you want
for the new version).
c. Click the button and choose a period in the Effective Start field.
d. (Optional) In the Description field, type a description of the version.
e. Modify the steps in the process group, as required.
f. Click the button. Alternatively, click the button to dismiss
the screen without saving the version.
4. To remove an existing version, click the button for the corresponding version. A
confirmation dialog appears. Click the button.
5. To modify steps of an existing version, select the version and modify the steps as
required. Click the button.
Copy a Process Group
1. Click the Setup tab, then click Configure > Process Groups in the secondary menu.
The Process Groups screen appears.
2. Hover over the external process, and click the Copy button that appears. The
Copy Process Group screen appears with the fields already populated using values
from the process group you are copying.
3. In the Name field, type a new name for the process group.
4. Modify any other fields, as required.
5. Click the button to save the new process group. Alternatively, click
the button to dismiss the screen without creating the process group.
Download Audit
1. Click the Setup tab, then click Configure > Process Groups in the secondary menu.
The Process Groups screen appears.
2. Hover over the process group, and click the Download Audit button that appears.
Download the audit file to your local machine, or open the file using an available
application.
Delete a Process Group
1. Click the Setup tab, then click Configure > Process Groups in the secondary menu.
The Process Groups screen appears.
2. Hover over the process group, and click the Delete button that appears. A confirmation
dialog appears.
3. Click the button to delete the process group.
