Overview of Incent Concepts
This chapter is a snapshot of how to set up your Incent environment, what to do first,
and in what order. You can find procedural details for each area in the Xactly Incent
Reference Guide.

Xactly Incent Configuration Process
The following table shows you the order in which data objects must be created in
Xactly Incent. This table orders these interdependent data objects as you would build
your Incent configuration. Starting at the upper left corner, read from top to bottom
and left to right. This is a quick check to see what depends on what, and is a map for
creating your configuration.

Create Your Organization’s Framework

Create the structure of your organization in Incent.
• In Setup, you define:
• Business groups to group users together.
• Preferences to specify
• How formulas and incentive data display in reports
• How personal data is displayed in reports
• Business Currency Unit Type
• Date and number format
• Time zone
• Whether partial commissions can be released
• Whether aggregated negative payment balances can be carried forward
to be recovered against future earnings
• Whether batch validation additionally checks that the employee ID on an
order item is associated with a person on a compensation plan
• Roles to be associated with each user that determine the Incent tabs and
menus each user can access in the application.
• Users to register sales representatives to be represented in and have access to
the application.
• Your company’s incentive Calendar to specify the years and periods for which
you can calculate compensation.
• Exchange Rates between multiple currencies used in incentive compensation
calculations to convert data from one currency to another.
• Configure, which are user-defined codes and objects used throughout Incent
that let you define things like unit types, currencies, and employee status.
• Custom Fields, which let you create additional fields for People and Order
Items, if the fields provided are not enough.
• Tags allow you to manage tags for your organization. Tags allow you to assign
customized names and groupings to objects (such as rules) thereby making it
easier to filter results.
• Translation Workbench allows you to import custom translations into Incent.
You might do this to support a global sales team with additional languages, for
instance, or to more easily manage custom labels in English.
• Customize includes Estimator Fields and Estimator Integration, which lets you
set up the standard and custom fields that are visible to all users in the Incentive
Estimator, and to integrate incentive estimator input with a Customer Relationship
Management (CRM) application. It also allows you to customize login
profiles, manage certificates used with SAML integration, and customize SAML
integation, OAuth integration, Salesforce orgs, and custom applications.
• In Organization, you define basic titles, people, positions, hierarchy, and relationships
within your company. You can further define different versions of each of
these objects, based on their effective dates. For more information about effective
dates, see Effective Dating.
Organization tabs include:
• Titles to specify the job titles within your company.
• People to specify the people in your company who will receive incentive compensation.
Everyone that you define in this area of Incent must first be defined
as a user (Setup > Users).
• Positions to create positions in your company’s hierarchy.
• Hierarchy to specify positions in your company’s hierarchy, which determines
how credits roll up from an employee to his or her boss, and determine the
viewing privileges for Incent reports.
• Named Relationships to associate one position name with another for the purpose
of rolling credits from one employee to another.
• In Company Data, you define:
• Product to create product definitions and product families that can be used in
compensation rules or as part of an order.
• Customer to create a customer hierarchy that can be used in compensation
rules or as part of an order.
• Geography to create a geography hierarchy that lets you define geographic
regions to be used in compensation rules or as part of an order.

Create your company’s incentive compensation program.
• In Plan Design, you define:
• Quotas to set attainment goals for a time period (months, quarters, years). For
example, quotas can be measured in units or dollar amount sold.
• Formulas to create expressions to be used in rules and rate tables.
• Rate Tables to set commission rates based on performance.
• Rules to create compensation rules that can be used in plans.
• Draws for guaranteed payment incentives.
• Plans to assign rules and positions/titles.
Customize Reports

Customize standard reports to view incentive compensation information.
• In Reports, you can use:
• Report Folders, where you can view standard reports.
• Customize, where you can control the report content that users in your company
can view.
Create Orders

Create orders by uploading from an Excel file, or manually in Incent.
note: Orders can also be loaded into Incent through the Xactly Connect APIs.
• In Orders, you can set up and manage orders through:
• Order Staging, which is the entry point for orders coming into Incent.
• Batches, into which you can group orders.
• Processed Orders, where you can view and download orders that have
already been submitted for calculation.
• Process Status, where you can see the status of batches of orders during validation
and calculation, and view the status of released and deleted orders.
• Validation Rules, where you can create custom rules to make sure that your
orders meet specific requirements before they are submitted to credit and
incentive calculation.
View Results

In the Results area, you can view credits, commissions, bonuses, draws, and payments;
create manual credits and bonuses; and review, finalize and release payments
to payroll.
• In Results, you can view:
• Credits, where you can view direct or indirect credits, create manual credits,
and download credit results to a .csv or .txt file.
• Commissions, where you can view commissions, and download commission
results to a .csv or .txt file.
• Bonuses, where you can view or create bonuses, and download bonus results
to a .csv or .txt file.
• Draws, where you can view or download draw results.
• Payments, where you can view payments for a given period, download individual
or aggregated payment records, and preview, finalize, and release
payments.
• Payment Balances, where you can view payment balances carried over from
a previous period.
• Payments Status, where you can view the status of payment preview and finalize
requests.
• Release Groups, where you can release groups of held results.
• Templates, where you can create a payment template using the Payroll Template
Navigator. You can use a payment template to create payment files
based on the latest payment results. The Payroll Template Navigator lets you
make new templates to export data to different payment systems that require
different data.
Manage Documents

Document Management lets you route plan documents and certification letters to
people in your organization. From Document Mgmt, you can also view the status of
routed documents and access and customize templates for plans documents and
certification letters.
Transfer Data

Users with the Modeling application installed can use the Data area to move Setup,
Organization, Company, and Plan Design data between Xactly Modeling and Xactly
Incent.
• In Data, you can:
• Export XML data files from Incent.
• Import XML data files to Incent.
• Get the Status of import and export transfers you have initiated. You can also
delete files from the Status user interface and download files to a local
machine.
• Download large quantities of cross-period data at one time using Bulk Extract.
