Setup > Translation Workbench

You can use the Translation Workbench to import custom translations into Incent. This allows you to support a global sales team with additional languages, for instance, or to more easily manage custom labels in English. In addition, if you have already customized end user facing labels in reports and sales pods, you can further modify these labels within the Translation Workbench (under the “English” language translations).

The Translation Workbench is intended for customizing the end user experience. Note that this does not currently include any administrator facing labels. In addition, Xactly-owned labels (such as tabs, main menus, and navigation) are not included in the workbench. These areas have translations provided by Xactly, based on the languages you select to support for your business.

IMPORTANT: When adding custom labels and translations for your sales teams, you should only enter labels that match the corresponding language. This ensures that the Xactly-translated labels and your custom-translated labels provide a consistent experience for the end user.

The complete list of languages supported in the Translation Workbench are controlled through the BUSINESS_LANGUAGES_ACTIVE admin business preference.

Using the Translation Workbench, you can export and download existing Incent labels (with corresponding values) to your local machine. After editing the downloaded file, you can then import custom labels and translations for each language activated within Incent for your business.

note: You cannot upload individual labels directly using the Translation Workbench. You need to export and download the existing labels for an Incent area, edit the file on your local machine, and then import the file containing your changes.

Translation Workbench Workflow

When using the Translation Workbench, you typically complete a workflow similar to the following to export and download labels and then upload customizations.

  1. In the Setup > Translation Workbench area, export the labels for the appropriate Incent areas. When exporting labels for one or more areas, you can choose from the export following options:

• All labels – This includes all labels regardless of whether the labels have been translated or not
• Untranslated labels – This only includes labels that do not currently have translations
• Translated Labels  – This only includes labels that currently have translated values

You can also choose the languages that you want to include in the export. This is helpful if you only want to focus on a specific set of languages, or if you do not want to make updates to labels of a specific language.

This also allows multiple administrators to simultaneously translate the same labels in different languages without interfering with each other’s work. For example, one administrator might download and customize German translations while another administrator might do the same for French translations.

2. Using the Status page of the Translation Workbench, check the status of the export operation.

3. While still on the Status page, download one or more export files to your local machine. The download icon appears when an export is completed.

4. Edit the exported XLSX files using Microsoft Excel. The exported translation files contain separate columns for each language specified when the translation file was exported.

note: You should only modify labels within the language columns in the translation file. Do not modify values in any of the other columns. Specify values for the language columns, such as English (United States), and save the file.

5. Using the Workbench page of the Translation Workbench, upload and import the files that you modified containing the custom labels. You can import multiple files at a time by compressing the translation files into a single .zip file and selecting that file to upload.

Workbench Columns

The following table describes the information displayed when working with the workbench:

Status Columns

The following table describes the information displayed when monitoring the status:

Started ByThe administrator who started the import or export.

This section describes how to use the Translation Workbench.

Export Labels

  1. Click the Setup tab, then click Translation Workbench in the secondary menu. The Translation Workbench screen appears
  2. Choose the Incent areas to export for translation by selecting the corresponding checkboxes. You can sort the columns (ascending or descending) by clicking the corresponding screen-shot-2016-09-21-at-3-45-19-pm buttons. After you select the first checkbox, the Export Labels button becomes available.

  4. In the Label Type section, specify the labels you need to export. You can select from among the following options:
    • All labels — This selects every label in the Incent area, along with any values in the language columns, independent of whether the label has translated values.
    • Untranslated labels — This selects labels that do not have translations for every language. Note that if a label has translations for some languages, the label is selected.
    • Translated labels — This selects labels that have translations specified, including labels that are partially translated.
  5. In the Languages section, specify the languages to export by moving the corresponding languages from the Available Languages list to the Selected Languages list. The available languages are specified using the BUSINESS_LANGUAGES_ACTIVE preference (in the Setup > Preferences area).
  6. Click the screen-shot-2016-09-21-at-3-14-59-pm button. The Translation Workbench Status screen appears with the new export entry in the results list. You can download the export to your local machine, as needed.

Check the Export Status

  1. Click the Setup tab, then click Translation Workbench in the secondary menu. The Translation Workbench screen appears.
  2. Click the Status button. The Status screen appears.
  3. (Optional) Sort the columns (ascending or descending) by clicking the corresponding screen-shot-2016-09-21-at-3-45-19-pm buttons.

Download an Export

  1. Click the Setup tab, then click Translation Workbench in the secondary menu. The Translation Workbench screen appears.
  2. Click the Status button. The Status screen appears.
  3. Click the screen-shot-2016-09-21-at-3-15-10-pm button to download the corresponding export. Depending on your browser, a dialog might appear allowing you to specify where to save the file.

Edit a Translation File

  1. Open the translation file (downloaded from the Translation Workbench > Status area) using Microsoft Excel. Translation files contain the following columns:
    • Incent Area — The Incent area that was exported.• (Optional) Key/Pod Name/Template — An application-specific identifier for the
    entry.
    • (Optional) Field Name — The name of the field exported from the Incent area.
    • Field Value—The default value for the field. This is the value used when there
    are no custom values specified in the language columns.
    • Languages — Separate columns for each language specified when the translation
    file was exported.note: You should only modify the language columns in the translation file. Do not modify values in any of the other columns.
  2. Specify values for the language columns, such as English (United States), as appropriate. You do not need to specify values for every field name. If you do not specify a value for a language, the default value in the Field Value column is used.
  3. Save the Excel file. After saving the file, you can import the labels in the translation file.

Import Labels

note: Before importing labels, you need to export and download the labels for the corresponding Incent areas and languages, and edit the translation files as needed. The name of the file that you import must be the same as the name of the file that you exported from Incent earlier.

  1. Click the Setup tab, then click Translation Workbench in the secondary menu. The Translation Workbench screen appears.
  2. Click the screen-shot-2016-09-21-at-3-15-37-pmbutton. The Import Labels dialog appears.
  3. Click the screen-shot-2016-09-21-at-3-15-43-pmbutton, and navigate to the updated translation file that you need to upload. note: To import multiple files at a time, compress the translation files into a single .zip file and select this file to upload. You can use any name for this .zip file. However, the names of the individual files that you are zipping together must be the original file names that you exported from Incent earlier.
  4. Click the screen-shot-2016-09-21-at-3-15-53-pmbutton. The translations are uploaded and imported.

The Translation Workbench Status screen appears with the new import entry in the results list.
